Your bike ships FedEx or UPS, and the driver will ask for a signature. Before you sign, walk around the box. If you see a tear, a crush, or a puncture, write it on the delivery slip — or refuse the shipment outright if it looks bad. Then photograph the box before you open it.

That signature is the whole ballgame. Sign clean and the carrier's position is that it arrived intact, which makes a later claim an uphill fight. Note the damage and you have a case. We'll work the claim with you either way, but the window is short — as little as seven days on some brands — so open the box the day it lands, not next weekend.

Nobody else selling you an e-bike is going to tell you this. We'd rather you know it up front than learn it the hard way.

5. Simple 14-Day Returns

Not the right bike? You have 14 days from delivery to start a return. If your bike arrives damaged, contact us right away with photos so we can open a claim inside the manufacturer's reporting window. Full return terms are outlined in our Return Policy.

6. Know Exactly What's Covered

Manufacturer warranties on e-bikes run roughly 12 to 24 months depending on the brand, and they cover defects — not wear parts like tires, brake pads, chains, and tubes, and not damage that happens in transit. We'll tell you the exact coverage on the bike you're looking at, in writing, before you buy. If you want protection beyond that, we offer a Product Protection Plan at checkout.

If you place an order for a product listed as Back-Ordered, our protocol is to process your payment at the time the order is placed. This ensures your position in the fulfillment queue and prevents delays that can occur if payment information changes or authorizations expire during the waiting period.

By processing payments upfront, we are able to:

While You Wait

If you have placed a back-order and wish to modify it, you have the following options:

• Switch Your Order: You may browse comparable products on our site. To modify an order, please place a new order for the in-stock item and contact us immediately to refund your original back-order.

• Cancellation: If your order has not yet shipped, we can provide a full refund after confirming the cancellation status with the manufacturer. Please email info@vortexcycles.bike with your request.

• Refund Timing: Please allow approximately four (4) business days for your financial institution to post the credit to your account.

Important Note on Timelines

Unless we receive written notice of a cancellation or modification via email, we will maintain your active order and continue working diligently with the manufacturer to fulfill it. Please note that all ETAs are subject to change. As an Authorized Dealer, VortexCycles facilitates the order and shipping process, but we do not control the manufacturing or shipping timelines of the brands we represent.

Please note, that unless we are advised by you in a written email reply indicating either of the above two options prior to shipment, we will assume that you want to keep your present order in place until the product is available to ship (requiring no post-order response from you). We will continue to diligently work on your behalf with the manufacturer to fulfill your order as soon as possible and advise on freight and tracking information when it is made available to us.
